Custom vs off-the-shelf CRM: the honest trade-off

Every few weeks someone asks us whether they should buy a ready-made CRM or build a custom one. The honest answer is: it depends, and anyone who tells you otherwise is selling something.

A product CRM is faster to switch on and cheaper in month one. That is real, and for some businesses it is the right call. What follows is how to tell whether you are one of them.

Where product CRMs stop

Off-the-shelf tools are built for the workflow every business shares — capture a lead, move it through stages, close it, invoice it. They do that part well.

The trouble starts at the parts that are specific to you: the token booking desk in real estate, the BOQ tracker in construction, the 80G receipt run for a non-profit. A product CRM makes you bend those into a custom field, or drop them. And those steps are often exactly where the money is.

A simple test

Count the number of times your team works around the CRM — the spreadsheet kept alongside it, the WhatsApp group that holds the real record, the report someone rebuilds by hand every Monday. If the answer is zero or one, keep your product CRM. If it is five, the workarounds have quietly become the process, and that is when a custom build pays back.
